IMPORTING DATA

To create a new SmartList from data in a text or Excel file, follow these steps:


Import Dialog

  1. Create a new SmartList by clicking on the add button in the upper left hand corner of the SmartList To Go application.

     

  2. Enter a name for the SmartList and click the "Import" button

  3. This will open the Conversions Specs dialog, enter a descriptive title in the Spec Name input.

  4. Click Browse to open a standard window in which to select an existing text or Excel file from which you want to import data.

  5. If importing a text file, the text file should have special characters between the data in each field so that it is clear where one field stops and the next begins. These special characters are called delimiters. Use the Delimiter radio buttons to select which delimiter the text files uses from Comma, Tab or Semicolon.

  6. Indicate the format date and time values that are imported will have using the Date Format and Time Format controls. Indicate the order of month, day and year values using the Date Format radio buttons. Indicate AM/PM or 24-hour using the Time Format radio buttons and check the has seconds checkbox if the imported values will include seconds.

  7. Check the First Record Contains Field Names checkbox to use the first line in the text file or spreadsheet file to provide the names of the SmartList fields.

  8. Click Next to move forward to the Field mapping window.

 

To import data from a text or Excel   file into an existing SmartList, follow these steps:

  1. Highlight the SmartList you would like to Import data into in the list of SmartLists.

  2. Click on the Data Link tab.

  3. Click New Import to create a new Conversion Spec. This will open the Conversion Specs screen.

  4. Enter a descriptive title in the Spec Name input.

This table shows the SmartList fields, their types, and the text file fields from which each field will import its information. Use this table to ensure that each external field's data will appear in the correct SmartList field.

Field Mapping

  • Click on the Add All Fields button to add all of the fields as new SmartList fields and give them the same name in the SmartList as identified in the External Field column.

  • Click on the drop down arrow next the "Import As Type" column to add fields to the SmartList individually.   Choose Add Field to create a new field in the SmartList or choose an existing field to map the imported data to that field.

  • To block an individual field from importing data, click on the field's pull-down in the "SmartList To Go Field" column and select Not Mapped.

  • Click the Save and Run button to Save the Conversion Spec and Import the data from the file immediately.

  • Click the Save button to Save the Conversion Spec, but not import the data immediately.   (You may run this Spec later from the Data Link tab if you choose.)
